Define the support intake

Set clear ownership
Assign one person to acknowledge the case and one escalation path for supplier review. Record each action and timestamp so another team member can continue without asking the customer to repeat the story.
Communicate useful updates
An effective update explains what has been checked, what happens next and when the next response is expected. Avoid guarantees that depend on a third-party provider. Predictable communication builds confidence even when the resolution takes time.
Close and learn
Confirm the final status with the customer, document the non-sensitive resolution and tag the cause. Review repeated causes monthly and turn the most common ones into guides, order checks or clearer product descriptions.
